How Cohort Ordering Works: Sizing, Start Dates, and Delivery

The short version: Cohort uniform ordering works best as a short checklist run in order. Collect the roster, lock one style and color, gather sizes for each student, set an order deadline well before the start date, plan for exchanges, then receive and hand out the order. Do it in that order and most surprises disappear.

Start with the roster

Before anyone picks a size, you need a final list of who is in the cohort. Pull it from your enrollment records and keep it in one shared spreadsheet. A simple layout works: student name, preferred contact, size, and a notes column.

Expect the roster to move. Students join late, drop out, or defer to the next term. Decide up front who updates the list and by what date it freezes, so there is one version everyone trusts. Share the final roster with anyone who touches the order, such as an administrator or department lead, so nobody works from an older copy.

Confirm one style and color for the whole class

A cohort looks and works best in a single scrub color and a single style, so confirm both before you collect sizes. Sizing differs from one style to another, and changing the style later means redoing every size.

Check these with your program or clinic leadership first:

  1. The required scrub color, and whether it changes between courses
  2. Whether the style needs to suit a range of body types and roles
  3. Any dress code rules for clinical sites, such as pocket needs or color restrictions
  4. Whether a school logo or name patch is required, and who handles it

Put the decision in writing and share it with students. A short email with the color and style name prevents most second guessing.

Collect sizes per student

A few habits make this go smoothly:

  1. Share the size chart with the sizing form so students can measure before answering
  2. Ask for top size and bottom size separately, plus inseam or length if the style offers options
  3. Set a short window for submissions, then follow up one time with anyone who has not replied
  4. Keep a column for students who are between sizes so you can flag them early

If a fitting day or a sizing kit is possible, it is the most reliable way to get sizes right. If not, clear instructions and the right chart go a long way.

Set a deadline before the start date

A useful way to plan is to set three dates:

  1. Roster and size freeze: the last day students can change anything
  2. Order date: when the final list goes to your supplier
  3. Distribution date: when students receive their scrubs, ideally a week or more before the start date

Share these dates with students early and repeat them. Confirm timing details with your supplier before you set the deadline, since lead times vary.

Plan for exchanges

Even with careful sizing, a few students will need a different size. Decide how you will handle that before the order arrives, not after.

Ask your supplier how exchanges work and write the answer into your student instructions. Tell students to try on their scrubs soon after distribution and to keep tags and packaging until they are sure of the fit. Bobcat Medical exchanges are limited to items that have not been worn, washed, embroidered or patched, so confirm the fit before any logos or patches are added. Name one person who collects exchange requests, so the supplier hears from a single contact rather than twenty.

Receive and hand out the order

Count pieces, confirm the color and style, and make sure each student's size matches what they submitted. Sort items into labeled bags or stacks by student.

Then set a distribution time when students can pick up, try on, and raise problems right away. Note any issues the same day while the details are fresh, and send them to your exchange contact. Students who join late can order individually online instead of waiting for the next cohort order.

A quick note for program coordinators

If you are planning an upcoming class, share the steps above with your team and students at the start of the term. Bobcat Medical works with programs on cohort orders, with one color and style across the class, sized per student. Students and staff can also order individually online.
